How Our Archiving Works
Archive Your Mail is SaaS (Software as a Service) . Since there is no hardware on premise and no software to buy or set up , once your archiving is setup you are done. Nothing could be easier!
The Technology – Archive Your Mail reaches out to your email provider or your server in very much the same fashion that you do when you get your email. At that location is an email box that is designed to capture all the mail that runs through your business email system. (Don’t worry, we help you to get this set up.) Once your mail is secured within our system , the software deletes it from that box so that it doesn’t cause a storage issue for you.
Storage – Keeping a lot of emails for a long period of time can be space intensive. Our software uses a proprietary compression technology which keeps the need for storage down but email takes up space. By using Archive Your Mail , this becomes a non-issue for you. Yes when your archive reaches certain thresholds, your monthly cost will increase but at our low rates that really shouldn’t become a problem. Once you have reached the time threshold you have set for keeping emails (5 years , 7 years or whatever you need for regulatory , tax or legal compliance ) your archive will become pretty much static as the old emails are cycled out and the new ones are brought in. The only thing that will affect you after that is your volume of emails and the size of the messages and their attachments.
Business Continuity – The SaaS model also increases the security and survivability of your email. If you use an onsite solution to safeguard your emails, then you have to send that archive to an offsite back up like Carbonite. When your are an Archive Your Mail client , your email is stored safely and securely in our data center. It’s already backed up offsite and that saves you on storage cost and time!
Security – Archive Your Mail uses a proprietary encryption method that only our software can read. If someone were to capture the raw files , all they would get would be some unreadable gobblety gook. The client web interface uses SSL web technology and your archive is password protected. We use one of the best firewalls and intrusion prevention systems in the industry today to safeguard our network. All of our systems are backed up to multiple redundant sites scattered across the globe. Frankly , it’s probably safer here than it is on your computer.
